This policy explains what information FrameBooks collects, how we use and share it, and the choices available to you.

1. Scope
This Privacy Policy applies to FrameBooks websites, applications, support channels, and related services. FrameBooks, Inc. is responsible for the personal information described in this policy.
FrameBooks is designed primarily for bookkeepers, accountants, accounting firms, restaurant operators, and their authorized team members. When a firm uses FrameBooks for a client, the firm and client determine who is authorized to connect and process the client's business data.
2. Information we collect
We collect information you provide, information obtained from services you connect, and limited technical information generated when you use FrameBooks.
- Account and contact information, such as your name, email address, login credentials in hashed form, workspace membership, and support communications.
- Workspace and business information, such as workspace names, business names, country, reporting timezone, plan, and team access settings.
- Commerce data you authorize us to access, such as locations, catalog items, orders, payments, refunds, fees, taxes, tips, gift card activity, payouts, and related transaction identifiers.
- Accounting data you authorize us to access or write, such as company identifiers, chart-of-accounts information, account mappings, journal entries, journal-entry status, and reconciliation details.
- Connection information, including provider account identifiers, OAuth authorization details, access tokens, refresh tokens, connection status, and synchronization history. Provider tokens are stored in encrypted form.
- Usage, device, and security information, such as IP address, browser type, request timestamps, authentication sessions, error logs, and activity needed to prevent fraud and secure the service.
- Cookie and local-storage information used for authentication, security, interface preferences, onboarding progress, and support functionality.
3. How we use information
We use information only for legitimate business purposes related to operating FrameBooks.
- Provide, maintain, and improve the service.
- Authenticate users and enforce workspace and business permissions.
- Connect to authorized commerce and accounting providers.
- Import, normalize, reconcile, and present business activity.
- Prepare, export, or post accounting entries at your direction.
- Provide customer support and respond to requests.
- Monitor reliability, investigate errors, prevent abuse, and protect FrameBooks and its users.
- Comply with law, enforce agreements, and establish or defend legal claims.
- Send service notices and product communications. You may opt out of nonessential marketing communications.
4. Connected-service data
When you connect Square, QuickBooks Online, or another provider, that provider shows the permissions requested by FrameBooks. We access provider data only after an authorized user approves the connection and only use it to deliver the accounting, reconciliation, synchronization, and support functions described in this policy.
We do not use connected commerce or accounting data for advertising, and we do not sell it. You can revoke provider access through FrameBooks or the provider's own account controls. Revoking access stops future provider requests, but previously imported records may remain as described under Data retention and deletion.
5. How we share information
We disclose information only as needed to provide and protect FrameBooks, follow your instructions, or comply with law.
- Service providers that host infrastructure, deliver customer support, monitor reliability, or perform other functions for FrameBooks under contractual obligations.
- Connected providers such as Square and Intuit when you direct FrameBooks to request, synchronize, or write data.
- Authorized members of your workspace and businesses according to the access you or your administrator configure.
- Professional advisers, regulators, courts, law enforcement, or other parties when reasonably necessary to comply with law, protect rights and safety, or investigate abuse.
- A buyer, investor, lender, or successor in connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.
6. Data sales and advertising
FrameBooks does not sell personal information or connected commerce and accounting data. We do not share that data for cross-context behavioral advertising. We do not use provider data to build advertising profiles.
7. Data retention and deletion
We retain account, business, connected-service, and accounting data while your account is active and for as long as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, enforce agreements, and comply with law.
Disconnecting a provider stops future access but does not automatically delete records already imported into FrameBooks. Deleting a business removes the FrameBooks records associated with that business from active systems. You may also request account or data deletion by contacting support@framebooks.com. We may retain limited information where required by law, necessary to prevent fraud, or preserved temporarily in routine system recovery copies.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including encrypted network connections, hashed passwords, encrypted provider tokens, access controls, and service monitoring. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
You are responsible for protecting your login credentials, controlling workspace access, and promptly reporting suspected unauthorized activity.
9. Cookies and support tools
FrameBooks uses cookies and similar browser storage for secure sessions, cross-site request forgery protection, navigation preferences, and onboarding state. These technologies are required for core product functionality.
Our website and application may load Help Scout to provide support messaging and help-center access. Help Scout may process device, usage, and support-interaction information under its own privacy terms. FrameBooks does not use third-party advertising cookies.
10. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, restrict, or obtain a copy of personal information, or to object to certain processing. You may update business information in FrameBooks, disconnect providers, manage workspace access, and request additional assistance at support@framebooks.com.
We may need to verify your identity and authority before completing a request. If FrameBooks processes information on behalf of an accounting firm, restaurant, or other customer, we may direct your request to that organization.
11. International processing and children
FrameBooks and its service providers may process information in the United States and other countries where they operate. Those locations may have different data-protection laws from your jurisdiction.
FrameBooks is a business service and is not directed to children under 18. We do not knowingly collect personal information from children.
12. Changes and contact
We may update this Privacy Policy as FrameBooks changes. We will publish the updated policy with a new effective date and provide additional notice when a change is material.
